Archive and Delete Assessments
Learn how to archive and delete assessments using the Licence Administration role
Licence administrators can use the Manage deleted flows feature to restore assessments (flows) back to the state that they were in when they were deleted.
The feature also enables licence administrators to specify if and when flows should be moved from an archived state to a deleted state. If flows are deleted they remain in a recoverable state for a period of time which can also be specified by a licence administrator.
It is also possible for licence administrators to specify that flows should never move to a recoverable deleted state or be permanently deleted.
Flows move to an archived state one month after their marking period (marking/grading) ends.
Deleting flows that are part of a FLOWcombine or FLOWseries, will remove them immediately from WISEflow. Deleted flows will not appear in the list of deleted flows.
Manage Deleted Flows Overview
Within the overview it is possible to see all deleted flows on your WISEflow licence that are still recoverable. Flows will appear here if they were manually deleted by a manager or automatically moved to the recoverable deletion state from an archived state due to the settings enabled within the Manage deleted flows feature.
The period for when flows move from an archived state to a recoverable deleted state and the period for when flows are permanently deleted after being flagged for deletion can be changed by licence administrators or disabled.
- All flows selected from the table view can be either reopened (restored) or deleted permanently with a single action.
- The Edit licence deadlines feature is where licence administrators can modify/disable the period for when flows move from an archived state to a recoverable deleted state and the period for when flows are permanently deleted after being flagged for deletion.
- Gives you an overview over when archived flows will be automatically moved to a recoverable deleted state - This setting can be changed/disabled using the Edit licence deadlines feature (See bullet point 2)
- Gives you an overview over when recoverable deleted flows will be automatically permanently deleted - This setting can be changed using the Edit licence deadlines feature (See bullet point 2)
- This column displays the date and time that a flow was moved to a recoverable deleted state.
- This column displays the date on which a flow is currently scheduled to be permanently deleted.
- This button enables you to select the columns that you would like to display in the table veiw.
- The button displayed in this column lets you either Reopen (restore) the flow back to the state it was in when it was moved to the recoverable deleted state or, by pressing the horizontal-lines button, view additional information on the flow or permanently it.
- Selecting multiple flows in this column enables you to perform bulk actions (See bullet point 1)
Deletion deadline periods
The two deadlines that control when an archived flow is automatically moved to a recoverable deleted state and when deleted flows are permanently deleted from the system can be adjusted by pressing the Edit licence deadlines button. From here it is possible to change the amount of days for either deadline.
The difference between the two settings are as follows:
- Delete flow after being archived determines how long a flow should be in an archived state before it should be moved to a recoverable deleted state.
- Permanently delete flows determines how long flows should remain in a recoverable deleted state before being permanently deleted.
The Delete flows after being archived setting can be disabled by ensuring that an amount (days) is not entered and the field is left blank.
The Permanently delete flows setting has to have an amount (days) specified.
Any changes made to either of these settings will only take effect the next day, meaning any and all archived or deleted flows will not be affected by any change of settings until the next day.
