Participation Settings - FLOWlock and FLOWmulti

Advanced settings allow you to customise the progress of the assessment. For FLOWlock and FLOWmulti assessments, most settings are configured via the participation settings in the Participation pane under the Basic Settings tab of a flow.

Under the Advanced tab of a flow it is possible to change standard settings which apply to all flow types. You can hover over the i_icon.jpg icon for more information.

Allow upload from internal assessor: If checked, internal assessors can upload the general assignment and any appendix material to a flow before the start of the participation deadline. The flow has to be activated for the functionality to be visible for assessors.
 
Instant export of grade: If enabled, assessments will be automatically exported to a connected student information system when a grade is finalised and submitted by the assessor(s). This article will explain the functionality in more detail.
 
Early access for assessors: Under the tab Advanced on the flow page, you can also allow markers to access participants submissions immediately after they have been submitted (Setting: Early access for markers)

Detailed descriptions can be found below the setting. Click Edit_All_button.png to access all checkboxes at the same time.

It is not recommended to change settings once the participation period has started. For changes to take effect on an ongoing flow, the participants must refresh their flow pages in WISEflow. If the use of the lockdown browser is changed, the participant will have to go to the main page of the flow and start again.

Timeboxed Participation

This functionality allows you to set a fixed timeframe (e.g. 2 hours) within the general participation period (e.g. 3 days). This will allow participants to start the flow at any point in time during the participation period but once initiated, they will only have the set timeframe to start the lockdown browser, finalise and hand in their submission. Once participants have acknowledged the start of their individual participation period, their individual participation end time will be updated according to the fixed timeframe.

The timeboxed timeframe will overrule the general participation deadline. This can result in participants starting their timeboxed period close to the end of the general participation deadline but allowing them to submit their paper after the end of the general participation deadline.

Timeboxed participation can be enabled/disabled for individual participants.

Lockdown Browser Settings & Passwords

Lockdown Browser: When enabled, participants will work within a closed environment for the duration of the participation period. In order to use the lockdown browser, an application must be installed on the participant's device. See also WISEflow Lockdown Browser - Introduction.

Generally, FLOWlock assessments are run with the lockdown browser. This means that participants and managers should be aware of the requirements and the installation guide for the lockdown browser.

The Lockdown browser can be enabled/disabled for individual participants.

If the lockdown browser is disabled on a FLOWlock, the flow can be set to work in the same way with the in-app editor without the locked environment, otherwise it will work in essence like a FLOWassign with passwords.

Participant Password: Setting a participant password is optional. If set, participants will need to enter the password to start the flow when the participation period starts. On FLOWlock flows where the lockdown browser is disabled, participants will have to insert this password to access the assignment, upload and submission area.

Invigilator Password: If the lockdown browser is enabled, it is mandatory to set an invigilator password. The purpose of the invigilator password is primarily for face-to-face exams. It is not needed at the start of the assessment/exam if participants commence the flow on time. It is possible to set a buffer period, at the licence level, that allows participants a grace period during which they can start the flow after the start of the assessment/exam. Participants will be asked for this password when they initiate the lockdown browser after the participation period has started or after the buffer period has ended.

It is possible to Skip invigilator password when participant submits. This setting can also be found on the manager's All Participation Settings pane. If this setting is disabled, participants will have to insert the invigilator password when they hand in their submission.

The purpose of the invigilator password is designed to support on-site exams, to support the control of students starting exams late, supporting students to ensure they are ready to submit their work (particularly if they have finished early) and also offers an extra layer of security. Please note that the invigilator password also gives access to the invigilator menu within the lockdown browser. Therefore, ideally the flow and assessment should be designed so that the password is given to as few participants as possible.

FLOWlock browser: Medium level of security

The medium level of security can be enabled/disabled for individual participants.

You can remove the use of the lockdown browser as well as change the participant and invigilator password. For quicker access, those can also be removed directly on the flow page.

Available Resources during the Exam

Prohibit offline backup: If participants lose connection to the internet while working in the lockdown browser, the system will automatically allow them to save a copy of their work to their computer until an internet connection has been re-established. In some cases it may be necessary to prohibit the download of such an offline backup for participants; then only invigilators can enable this functionality for single participants.

Spellcheck enabled (only for FLOWlock): Words that have been spelt incorrectly will be underlined and participants will receive correct suggestions for these words. Participants can disable spellcheck directly in the lockdown browser by clicking on Spellcheck.png. If spellcheck is enabled, the language which should be checked must be specified (via Spell-check settings in FLOWlock).

Spellcheck can be enabled/disabled for individual participants.

Allow the participants to verify the answer to the question (only for FLOWmulti): If authors have enabled that participants can check whether their answer is correct, you, as the managers, can activate or deactivate this option administratively for the entire assignment. Please note that this should only be enabled if the lockdown browser is enabled. Otherwise participants will be able to find the correct answer using the developer tool in their own browsers.

Permitted internet resources: You can provide participants with one or more links to internet resources. All pages available on the linked domain will be accessible (i.e. a link to https://en.wikipedia.org/wiki/Electronic_assessment will let participants navigate through all articles on https://en.wikipedia.org) but all attempts to navigate to pages on other domains will be blocked.

Links can be made available only to individual participants.

Allow participants access to their own PDF notes: This will allow participants to view their PDFs stored on their devices during a lockdown exam. Participants may be able to view other files when this setting is enabled.

Allowed appendix tools: You can grant participants access to different tools while working in the lockdown environment. The appendices are automatically added to the paper when they have been saved and the participant can view them on the right side. Furthermore, participants can choose to insert drawings, webcam images or code directly into the paper. To see the functionalities of the individual tools, read through Using the Appendix Manager.

When File Upload and Webcam are enabled together, participants will be able to browse their device to add pictures, even when the lockdown browser is enabled.

Access to Assessment

Most of these settings can be enabled/disabled for individual participants

Enable direct flow based login: Enable participants to access the flow during the participation period through an additional login method. The article Direct Flow-Based Login explains the setup and the login method in more detail.
 

No access to paper after submission: When enabled, participants will not be able to access their paper after it has been submitted.

FLOWmulti Specific Assessment Settings

Allow the participant to access the paper after submission: Participants can review the paper and their answers after submission.

When the Device Monitor is enabled, screenshots taken will also be visible to participants if this setting is enabled.

If this is setting disabled but a marker has shared a comment with the participant on a particular question, the participant will be able to see the question and feedback from the marker via the See_feedback_button.png button.

Allow the participant to access automatic validation after submission: When the last participant on the flow has submitted, participants can see the questions, their answers and whether or not they have submitted the correct answers on auto-scored questions.

This setting can only be enabled if Allow the participant to access the paper after submission has been enabled.

Allow the participant to access achieved points after the assessment period: Participants can see the points they have received either via auto-scoring or by an assessor. Comments and annotations by an assessor are only shown if they have been shared with the participant.

If this is setting disabled but an assessor has shared a comment with the participant on a particular question, the participant will be able to see the question and feedback from the assessor via the See_feedback_button.png button.

Invigilation Features

Facial comparison and voice detection can be disabled for individual participants.

Enable facial comparison: It is possible to enable the use of a webcam on a participant's device in flows when the lockdown browser is active. It is possible to choose whether

  • Participants will be prompted to identify themselves by taking a photo with their webcam to gain access to a flow.
  • Additionally continuous photos can be taken automatically in random intervals throughout the flow to document a participant's presence.Enable_Facial_Comparison_Settings.png
    All photos taken in one of these scenarios will be compared with a reference photo of the participant and provide a match percentage. If the participant has no reference image, the first entrance photo taken will work as a cross-flow reference photo going forwards.

Facial comparison is not available for FLOWlock/FLOWmulti on iPad.

Require voice detection: If enabled, a microphone on a participant's device records and transcribe actual sentences spoken during the course of the lockdown exam.

Voice detection can be added as an additional licence module for an extra cost. Please contact UNIwise for more information.
 

Require Device Monitoring: If enabled on the flow, participants will need to start the Device Monitor first in order to gain access to an assignment and be able to upload and submit their paper. Screen captures of the participant's device will be taken at random intervals and can be monitored in the participation monitor. If Show assignment(s) after participation is disabled, the screenshots will be hidden from participants together with the assignment after participation.

The Device Monitor can only be used when the lockdown browser is disabled. It does not work in conjunction with facial comparison and voice detection.

The WISEflow Device Monitor can be added as an additional licence module for an extra cost. Please contact UNIwise for more information.

The Device Monitor can be enabled/disabled for individual participants.

Automatic Submission of Paper

Automatically submit paper at participation deadline: When enabled, the paper will be automatically submitted for participants at the end of their (individual) participation deadline. The requirement to enter an invigilator password upon submission will automatically be bypassed. Automatic submission will only work if:
  • the participant is online in WISEflow;
  • the participant is actively participating in-app (within FLOWlock);
  • and the latest revision has been saved.
This setting is available with or without the lockdown browser. The functionality is not available when you have switched on Opt-out of the in-app editor.
 

FLOWlock Specific Settings

Access to Assignment

Show assignment(s) after participation: When enabled, participants will be able to access the assignment, after the participation period has ended. This applies to all participants on the flow, regardless of whether they made a submission. When the Device Monitor is enabled, screenshots taken will also be visible to participants

Opt-Out of In-App Editor

FLOWlock is primarily used with the lockdown browser, limiting participants access to external resources. If participants are not required to complete their assessment within a locked-down environment and the lockdown browser is not enabled, FLOWlock can be used in one of two ways:

  • Use the FLOWlock in-app editor: disabling the lockdown browser will result in FLOWlock working in the same way but without the restrictions of the locked-down environment; participants complete and submit their work using the FLOWlock in-app editor.
  • Opt-out of the in-app editor: Opting out of using the in-app editor, renders the flow as a FLOWassign, where participants must upload their work to be submitted but passwords are still in use.

In order to utilise FLOWlock without the FLOWlock in-app editor, the Opt-out of in-app editor setting must be selected in the participation settings:

Individual Participation Settings

You can also enable or disable certain settings for individual participants at the bottom of the page. Please note that facial comparison and voice detection need to be enabled as general flow settings and then disabled for individual participants.
